Plan a company workplace around how your team works

Before comparing styles, write down who uses each area, what your team needs from meeting rooms and which existing items should stay. These questions can help you prepare a clear brief for a conversation about company office fit-out.

Start with the work, then clarify the scope

Use the guide to describe your company’s work areas and the decisions you want to discuss. The office fit-out service says the requested work and additional items should be set out in the written quote.

The meeting-room image is a design concept from post 94 in the company-office library. It is not a photo of a completed project and does not establish dimensions, materials or equipment supply.

List the areas your team uses

Start with the work that happens in the office. Note which areas your team uses for focused work, shared work and meetings, and who needs to use each one. If visitors come to the office, note which area you want to discuss for their arrival.

This is a way to explain your priorities, not a ready-made layout. The office fit-out service describes measuring the office and discussing the distribution of rooms and spaces.

Describe what meetings need

Think about who joins meetings, what the room is used for and which equipment your company already has. Note whether you want to discuss a display or other items in the room, and say what should stay.

The concept image shows a meeting table and chairs, a wall display, windows and a suspended light. Use it to point to a visual idea; it does not show what equipment is included in your request.

Mark what you plan to keep

List desks, chairs, cabinets or other items your company already owns and wants to retain. Note any pieces that may need to move or be discussed separately.

Furniture is not automatically included in every office-fit-out quote. The office fit-out service says furniture and additional work should be identified in the quote, so check that the items you expect are written down.

Clarify each work item and coordination responsibility

The office fit-out service lists partitions, ceilings and lighting by agreement; paint and floors with finishes selected by the customer; and reception counters, cabinets and joinery. Ask which of these items you want to discuss and confirm the agreed scope in writing.

The service also says to determine with the customer who will follow up on networks, air conditioning and building approvals. Clarify responsibility for any additional work before agreeing on the quote.

Prepare a short brief; photos are optional

You can begin with a description of the areas, team needs, meeting-room use, existing items to keep and the work you want to discuss. The service page asks for a plan or photos, employee count and requested timing; a photo or plan can help explain your request if you have one.

Use the written quote to check the agreed work, additional items and coordination responsibilities. Do not assume that a picture, initial discussion or target date confirms the final scope or schedule.

Questions before planning a company workplace

Are desks and chairs automatically included?

No. The office fit-out service says furniture is not included in every quote. List the pieces you want to discuss and check what is written in your quote.

Do I need to send a floor plan or photos?

The service page asks for a plan or photos, employee count and requested timing. You can start by describing the office and what you want to discuss; send a plan or photos if available.

Who follows up on networks, air conditioning and building approvals?

The office fit-out service says to determine with the customer who will follow up on these items. Clarify the responsibility for your request before agreeing on the written scope.

Can the office stay in use while work is underway?

That depends on the space and requested work. The office fit-out service says this should be reviewed before agreement; do not assume that all areas can remain in use.
